This Privacy Policy explains how Polygon Labs (“we,” “us”) collects, uses, and protects information when you use our websites and applications, including Simple Scheduler and Simple Time Clock and their staff-facing apps (the “Services”). By using the Services you agree to this policy.
1. Information we collect
- Account information — business name, email address, and a securely hashed password.
- Employee data you enter — employee names, emails, phone numbers, pay rates, roles, schedules, availability, time-off, tips, and clock in/out times. You provide this about your workers; you are responsible for that data and we process it on your behalf.
- Employee accounts — if your staff use the staff app, we store their email and a securely hashed password so they can sign in, plus optional push-notification tokens if they enable notifications.
- Approximate location — only if a business turns on location-based (geofenced) clock-in, we use the employee’s device location at the moment of clock-in to check they are near the workplace. We do not track location continuously or in the background.
- Payment information — subscriptions are processed by Stripe (web) or the Apple App Store / Google Play (mobile). We do not receive or store full card numbers.
- Technical data — log data, IP address, device and browser information, used to operate and secure the Services.
2. How we use information
- Provide, maintain, and improve the Services (scheduling, time tracking, and reports).
- Process subscriptions, billing, and free trials.
- Send service-related communications and, where enabled, schedule/shift emails and push notifications.
- Provide support and send account communications (e.g., invites and password resets).
- Protect against fraud, abuse, and security threats.
3. How we share information
We do not sell your personal information. We share it only with service providers who help us run the Services, under confidentiality obligations:
- Stripe — payment processing.
- RevenueCat and the app stores — mobile in-app purchases.
- Hostinger — cloud hosting.
- Our email provider — transactional email.
We may also disclose information if required by law or to protect our rights and users.
4. Data retention
We keep your data while your account is active and as needed to provide the Services and meet legal obligations. You may request deletion of your account and data at any time by contacting us.
5. Security
We use industry-standard measures including encryption in transit (HTTPS), hashed passwords, and access controls. No method of transmission or storage is 100% secure, but we work to protect your information.
6. Your rights
You may access, correct, export, or delete your information. Depending on where you live, you may have additional rights under laws such as the GDPR or CCPA. To exercise any right, email hello@polygonlabs.app.
7. Employees’ data
If you use Simple Scheduler or Simple Time Clock to schedule or track employees, you are responsible for informing your workers and having a lawful basis to collect and process their information — including, where applicable, notice and consent for location-based clock-in. We act as a processor of that data on your instructions.
8. Children
The Services are intended for businesses and are not directed to children under 16.
9. Changes
We may update this policy from time to time. Material changes will be posted here with a new “Last updated” date.
